Campus Administrative Assistant - Various Locations

Reporting to the Campus Director, the Campus Administrative Assistant plays an integral role in the smooth and efficient operations of the Sprott Shaw campus. Usually, the first point-of-contact person, the Administrative Assistant will be the public’s first perception of the campus. This is an open on-going call for applications.   • All responsibilities and procedures are provided as guidelines in Administration Procedures
  • Performs general administration duties such as reception, mail, interoffice communications, outgoing correspondence, petty cash and ordering supplies/textbooks/equipment
  • Maintains the standardized file set-up for vocational/retail student files, government project files, correspondence files, daily organization systems and dead files (archives)
  • Provides marketing support to admissions by handling phone inquiries, appointments, walk-ins, and marketing statistics according to structured guidelines
  • Ensures the proper procedures and processes are followed for student registrations, creation of student file, input into start schedule, and into FAST
  • Monitors attendance and keeps the admissions advisor informed about any new start student’s absence
  • Provides the director with the names of students who have excessive absenteeism
  • Prints and distributes monthly interim transcripts every four weeks for each student
  • Processes diplomas, certificates, final transcripts
  • Reads and follows all procedures and policies and is aware of update procedures.
  • Participates in graduation functions
  • Attends faculty meetings and in-service training
  • May act as an instructional assistant in smaller campuses
  • Duties and responsibilities may be added, deleted, or changed at any time at the discretion of management, formally or informally, either verbally or in writing

Qualifications and Education

  • Administrative Assistant, Business Office, Business Administration or related certificate or diploma
  • At least two years of related working experience


    • Knowledge of MS Office and Database Systems
    • Excellent communication and interpersonal skills
    • Excellent Customer Service Skills
