What were you doing before attending Sprott Shaw College?

Before attending Sprott Shaw College, I worked as a call center agent. Unfortunately, the company declared bankruptcy. So, I have to look for another job. In order for me to get a more profitable and rewarding job, I have to equip myself with skills and knowledge to compete [in the job market] out there.

Why did you choose Sprott Shaw College?

I looked into different schools, including Sprott Shaw College. I did choose Sprott Shaw College because Sprott Shaw trains their students to become a leader… Sprott Shaw College equips their students with skills and knowledge to compete and become a victor or conqueror in the real world. Sprott Shaw College never leaves their graduates high and dry, they have stand-by support ready for us if we need it.

How was the admissions process?

The Admission process was so easy, Ursula and other staff were there throughout the admission process.

What program did you choose and why?

Business Administration Diploma. Sprott Shaw College helped me decide what program was best for me based on my previous experiences and educational background.

What was the environment like during your time at Sprott Shaw College?

It was a harmonious environment. We have so many activities that help build better relationships with our classmates, instructors and school staff members.

Where was your practicum or co-op and how was it?

My practicum was in New Westminster few blocks away from the Sprott Shaw Campus. It was a great experience: it helped me to prepare myself to step into the real work field.

How long did it take you to find a job after graduation?

One week after my graduation I got a job in a Property Management Company. I got hired not because I have experience, I got hired because I have a Business Administration diploma and the employer is confident that I can do the job.

Where do you work? Can you explain your duties?

I work at the Property Management Company. Here’s the list of my duties;

Correspondence:

  • Bylaw Infraction Letters & Fine Letters
  • Chargeback Letters (general & insurance deductible)
  • General Notices & Memos
  • Alteration Agreements / Indemnity Agreements / Assumption of Liability Agreements
  • Arrears Letters (requested by SM)
  • Final Demand Letters
  • Lien Placement & Lien Removal Letters
  • Response Letters
  • New Council Member letters
  • Change of Billing Address Letters
  • Authorization Letters
  • Contractor Termination Letter
  • Maintain electronic distribution list for correspondences & notices
  • Distribute letters, memos, notices by mail & email
  • Follow up on RTS (return to sender) correspondence returned to this office

Meeting & Minutes:

  • Assist SM with preparing CM Agendas
  • Assist SM with preparing AGM / SGM Notice Packages
  • Type out minutes of meetings from dictations/notes & proof read minutes, if required
  • Distribute AGM / SGM Notices
  • AGM / SGM day-of-meeting preparations
  • AGM / SGM post-meeting procedures
  • For 100+ unit strata, attend AGM / SGM with PMs if assistance is required
  • Maintain electronic & hardcopy distribution list for minutes
  • Upload minutes to strata websites
  • Distribute meeting minutes by email and/or mail

Keys/Fobs/Transmitters:

  • Assist PM with coordinating sale of keys/fobs/transmitters
  • Assist PM with drop-offs & pick-ups of keys/fobs/transmitters
  • Assist PM with ordering more keys/fobs/transmitters

Move-in/out:

  • Assist PM with coordinating moves; liaise with caretaker, Council member, security company, etc. if required

IT Support:

  • Maintain strata website & upload documents to strata website
  • Set up electronic signatures for PMs
  • Update OneDrive Emergency Spreadsheet (requires written directive from PM)
  • Assist PM with formatting electronic documents
  • Generate various reports from Yardi
  • Advanced understanding of Yardi, Outlook, Uniflow, eCopy, S Drive & assist PMs if required.
  • Assist PMs with phone setup, changing voicemail message, etc.

Miscellaneous:

  • Strata document retrieval (Land Title)
  • Bylaw updates
  • Field calls on behalf of PMs & respond to inquiries from clients and trades
  • Strata records maintenance & Secure destruction of strata documents
  • Assist with Takeover Strata setup
  • Assist with Terminated Strata transition
  • Liaise with Council Members, Owners/Residents/Tenants, Caretakers and Contractors on behalf of PMs
  • Assist Management with distribution of Client Satisfaction surveys
  • Generate strata contact lists for PMs, if requested
  • Complete updates to contact information, if required
  • Assist with Special Projects
  • Learn process for financials distribution & record keeping
  • Complete understanding of registration process, contents, processing (internal & external) and record-keeping of various Forms
